Front of House Executive - £12.09ph - £14.24ph plus holiday pay – Central London

Ready for an exciting role in Central London? Join us as a Front of House Executive and be the welcoming face of a prestigious institute! Start immediately for an initial three-month period, with the potential to go permanent for the right candidate!

MAIN DUTIES
  • Deliver a high-quality service for all students and staff.
  • Operate as the first line of contact to the Institute providing a respectful and welcoming environment and service.
  • Meet and greet staff, students, applicants and external visitors, providing a positive first impression and an efficient sign posting service in person and via the telephone.
  • Maintain the Visitors' Log and sign in/out system as well as preparing and printing Visitor Badges.
  • Provide refreshments to external visitors.
  • Ensure the building entrance, reception, waiting areas and all other public spaces and facilities within each building are kept clean, tidy and presentable at all times.
  • Monitor the activities and operations that take place within the buildings and report any incidents to Estates and Facilities personnel.
  • Receive and respond to incoming telephone calls and emails efficiently and effectively, and where applicable forward to other members of staff.
  • Receive external mail and sort and distribute to staff.
  • Collect internal-to-internal mail and sort and distribute to staff.
  • Receive, sort, store/distribute any deliveries received in the building.
  • As required maintain stationery and office supplies.
  • Maintain and be the gatekeeper for all required email inboxes.
  • Organise catering bookings and catering stock management for meetings or events.
  • Implement any room bookings that are required.
  • Facilitate meeting room preparation.
  • Attend and contribute to Staff Meetings, Staff Development sessions and all other meetings at which attendance is required.

PERSON SPECIFICATION
  • Experience of working in a front of house or student support function in a Higher Education setting.
  • Experience of customer service, answering telephones and responding to emails.
  • Computer literate (to include competence in the use of Microsoft Office, in particular Word, PowerPoint and Outlook; SharePoint; and Microsoft Teams).
  • Excellent writing, communication and interpersonal skills.
  • Ability to engage, influence and work positively with a wide range of people.
  • Ability to work independently as well as take direction and work collaboratively across divisional and departmental boundaries.
  • Excellent organisational skills and the ability to effectively prioritise.
  • Ability to manage change and adapt to a fast-changing environment.
  • Welcoming and hospitable attitude.
  • Ability to own and find solutions to problems.
  • Enthusiasm and empathy for the Institute's purpose.
  • Good time management, with an ability to work under pressure and meet tight deadlines, whilst maintaining high attention to detail.
