Job Description: Events Coordinator:
Temp: £18 - 19 per hour, asap start

As an Events Coordinator you will play a pivotal role in planning, executing, and promoting a diverse range of events. Your work will directly contribute to achieving our priority goals and enhancing the Charity's profile. Here are the key responsibilities:

  1. Event Planning and Execution:

    • Collaborate with cross-functional teams to design and deliver a comprehensive program of events.
    • Manage a dynamic calendar of activities, ensuring alignment with team priorities.
    • Work closely with the communications team to optimise impact across both events and communications efforts.
    • Organise workshops, roundtables, conferences, webinars, receptions, and other in-person and online events.
  2. External Agency Management:

    • Commission and oversee external agencies to execute events on our behalf.
    • Procure and manage suppliers, ensuring timely delivery and high-quality outcomes.
    • Seek innovative approaches to enhance future events and contribute to process improvements.
  3. Event Promotion and Accessibility:

    • Lead event promotion efforts, including blogs, livestreaming, and social media campaigns.
    • Compile invitation lists while adhering to Data Protection guidelines.
    • Coordinate with event speakers, ensuring thorough briefings.
    • Prioritize accessibility for all attendees.
  4. CRM System Management:

    • Take ownership of the CRM system for the communications team.
    • Support colleagues in navigating the system effectively.
  5. Collaboration and Values:

    • Champion lived experience and storytelling in our events and communications.
    • Collaborate with other teams to enhance external engagement methods.
    • Contribute to their main Campaign through event ideas and promotion.
  6. Adherence to Principles:

    • Safeguard and promote the rights of older people.
    • Comply with organisational policies, especially regarding Data Protection.
    • Foster open collaboration across the Organisation.
    • Uphold professional standards and organisational values.

    • Undertake any other relevant duties as required.

Person Specification:

  • Essential Criteria:
    Excellent organisational skills, adept at managing multiple projects with precision.

    • Strong time management and prioritisation abilities.
    • Effective written and verbal communication skills, including experience with diverse audiences.
    • Proficiency in Word, Excel, and PowerPoint.
    • Digital and social media skills.
    • Database management expertise.
    • Experience in a fast-paced, complex environment (paid or voluntary).
    • Technical knowledge of managing online events and streaming.
    • Event organisation and external agency management experience.
