The Role:

Working as part of the Sourcing & Procurement Capability, this role will be responsible for implementing Indirect Procurement throughout Clinigen Group. The Indirect Procurement Manager will be responsible for overseeing all aspects of indirect procurement, ensuring optimal efficiency and cost-effectiveness. They will work to implement procurement strategies, categorise spend and identify & develop excellent relationships with key Vendors for Clinigen’s Indirect Spend and will provide strategic advice and guidance to key stakeholders and budget holders.

Key Responsibilities:

Developing the service

  • Indirect Procurement is a new capability within the Clinigen Group and therefore this role will develop and embed the service offering

Procurement Strategy

  • Develop and maintain strategies to successfully secure cost savings, cost avoidance and efficiencies across a wide range of indirect procurement categories
  • Delivering value for money for key stakeholders, budget holders and ultimately Clinigen Group through new and existing commercial and contractual arrangements resulting in reduced risk and improved overall business outcomes
  • Improve vendor payment terms and other T&Cs and identify synergies with other Clinigen group companies/divisions to improve buying power
  • Engage with and leverage Triton Procurement and Triton portfolio companies to improve buying power
  • Identify key vendors in support of company growth objectives
  • Establish a process to ensure consistent sourcing velocity across indirect procurement categories
  • Manage risks & opportunities throughout the contract lifecycle and highlight the measures taken to senior management
  • Advocate for alignment to the Clinigen ESG targets, such as reducing climate change impact (emissions), responsible use of resources (recycling/re-using), and supplier diversity as a direct result of procurement strategies
  • Increase YoY percentage of spend under central management (within Sourcing & Procurement)

 Vendor Management

  • Implement a vendor management process to ensure strong working relationships with key vendors and to provide business continuity.  This will include supplier engagement in relation to Clinigen’s ESG targets, and in particular scope 3 emissions in the supply chain.
  • Responsible for managing Clinigen’s insurance programme and relationship with the external insurance broker
  • Relationship and performance management of key vendors with regular review meetings taking place
  • Measure supplier performance through the implementation of KPI’s
  • Improve key vendor performance through implementation and delivery of strategic objectives
  • Influencing our vendors and their supply chains to have a positive impact on the environment and human rights issues

 Data analytics

  • Ensure various tools, dashboards and reporting are delivered promptly for review and analysis by senior management
  • Engage in the development of additional reports and KPIs to continuously enhance insights
  • Use data analysis techniques to provide monthly reports on actual spend against contract, off contract spend, new suppliers, supplier issues and performance

Customer service

  • Ensure excellent customer service is provided internally
  • Provide expertise, advice and support to key stakeholders / budget holders, including presenting options, contract specifications, forms of contract, tender packaging and pricing strategies
  • Ensure the timely turnaround of RFPs whilst ensuring the most effective procurement strategy is provided
  • Negotiate and lead discussions, in conjunction with key stakeholders / budget holders if appropriate, relating to procurement contracts, renewals and extensions

 Business Strategy and Planning:

  • Ensure regular and consistent research into categories to inform and drive strategic procurement decision making
  • Contribute to annual and three-year strategic planning with respect to assigned projects and partnerships
  • Monitor and report on key financial parameters including sales, expenditure and cost savings
  • Involvement in business development and business case assessments

QA, Regulatory & Compliance

  • Ensure all licenses, documentation, audits and associated QA activities are in place in support of vendor qualification
  • Work with QA, Regulatory and Technical teams to identify opportunities to improve supply chain security, compliance and integrity
  • Work with QA to ensure key suppliers are periodically assessed on a risk analysis basis
  • Keep updated with relevant legislation and its impact on business activities

Requirements

  • Educated to degree level
  • Significant and demonstrable experience in tendering, strategic sourcing, procurement & vendor management required
  • Demonstrable commercial acumen through thorough analysis, planning and execution
  • Proactive and solutions-driven, with a high level of accountability and ownership for delivering
  • Proficient in use of web based IT systems and Microsoft (MS) Excel, MS PowerPoint, MS Word and MS Project
  • Ability to plan, prioritise and coordinate a busy workload with good time management skills
  • Able to problem solve, strategize, and “think outside the box”
  • Ability to influence, persuade and negotiate with key stakeholders
  • Flexible and adaptable to changing situations
  • Membership of CIPS or equivalent desirable
  • Experience operating within a global complex matrix company an advantage
  • International experience required
  • Excellent relationship management, networking and interpersonal skills
  • Excellent communication skills and ability to communicate effectively with all levels of an organisation
  • Working knowledge of global and EU procurement rules and legislation
