Job Title: Office Coordinator 

Location: Manchester City Centre 

Salary: £25,000

Due to the office coordination aspect of this role, the role holder will be required to attend the office 5 days per week and may need to work additional hours on an ad hoc basis to support with company events.

Impact: Sitting within the HR & Office Management team, you will take responsibility for coordinating the day-to-day operations of the Manchester office and provide administrative support to the office.

Responsibilities: 

Office Coordination 

  • Being the first point of contact for greeting Grayce visitors and analysts  
  • Taking a leading role in coordinating desk and room bookings  
  • Maintaining the key supplies to ensure the smooth running of the office; equipment, stationery, passes, kitchen supplies, refreshments etc. 
  • Maintaining clear and tidy office space  
  • Supporting staff with catering and travel booking 
  • Prepping and setting up events, and acting as the key point of contact during these  
  • Developing and maintaining solid professional relationships with landlord, suppliers and other key stakeholders  
  • Respond to ad hoc queries from clients, visitors or colleagues 
  • Maintaining first aiders qualifications and records and coordinating health and safety risk assessments  
  • Ensuring a safe and comfortable work environment  

Administration 

  • Supporting the wider HR team with administration (including critical processes such as payroll) 
  • Taking meeting minutes  
  • Preparing letters and other HR documentation  
  • Taking HR calls  

  

Qualifications, Skills and Competencies 

  • Microsoft Suite and Excel Proficiency: Strong knowledge of Microsoft Suite, with intermediate Excel skills is essential. 
  • Relationship Building: You excel at establishing and maintaining strong working relationships, both within the company and with external partners.  
  • Task Prioritisation: You have a knack for prioritising tasks effectively, even when faced with tight and conflicting deadlines. 
  • Organisational Proficiency: Your organisational skills are top-notch. You maintain order and structure whilst streamlining operations and enhancing overall efficiency. 
  • Communication skills: You have strong verbal and written communication skills and are able to think on feet to solve problems.
