You will work closely with some of the most innovative experts in the technology sector and have the opportunity to take on projects which support our future growth as well as your own.

We are keen to hear from both experienced Executive Assistants as well as those who feel they have the relevant skills from their experience in other roles who are seeking a new direction.

Role

The Executive Assistant function at OQC provides support to our Executive team. EA’s ensure that inboxes and calendars are managed on the executives’ behalf as well as managing communications from Technical team leads and other team members and external stakeholders. The role may also include involvement in various projects relating to OQCs growth as well as managing travel arrangements for the exec team and for partners visiting our sites.

The post holder will have the opportunity to be at the forefront of this exciting period of growth at OQC, being included in high level, strategic communications and meetings. It is essential that they are able to maintain a high level of discretion and confidentiality while building strong working relationships with the wider team.

Responsibilities include:

  • Manage executive’s calendars, making appointments including external and internal meetings, visits to offices, events and meetings in locations across the UK/globe.
  • Act as a liaison between executives and OQC team, partners, investors and tech companies by being able to answer questions with tact and diplomacy, taking messages, and directing tasks appropriately for resolution.
  • Provide administrative support, including managing email inboxes, letters, meeting agendas etc
  • Prepare, reconcile and submit expense reports
  • Coordination, monitoring, and communication of projects and programs managed by the executives direct reports 
  • Preparing presentation for internal and external audiences  including slide presentations, financial spreadsheets, executive reports and summaries 
  • Support with executive onsite visitors - arranging travel for guest, meeting and greeting and providing support to the exec team during any visits
  • Event management for executive team in attendance;  managing email communication, logistics, preparations and support 
  • Coordinating complex global travel itineraries 
  • Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.

Candidate requirements

  • Experience with relevant tools: Google suite, Slack, Click-up

Desired Skills

  • EA/ PA experience

Location and travel:

This role is based at the OQC head office, located in Shinfield, Reading. Our hybrid working model requires 2 days per week in the office. We offer a free shuttle bus service from Reading Station to allow an easy commute from London and Oxford.
