Customer Service Coordinator - The Role in Summary:


Expect a varied role working within a busy environment, dealing with customer enquiries, organising work and appointments for engineers on the road, dealing with the upkeep of client accounts and supporting the Operations Manager with the management of administrative tasks within a growing team.

This person will be expected to:

  • Handle and process confidential data in a discreet and professional manner
  • Pay careful attention to detail
  • Be a team player as well as being able to work on own initiative
  • Have proficiency in Microsoft Excel, Word, Outlook and general office IT systems (be enthusiastic to improve these skills by proactively undertaking training and working with others to gain further knowledge)
  • Be an excellent communicator and have a confident and professional telephone manner
  • Have excellent time-management skills
  • Be customer-focused whilst ensuring the business needs are also prioritised
  • Possess strong organisational and prioritisation abilities
  • Have an all-round proactive and positive outlook towards the role and the business, to significantly contribute to the improvement of business processes and practices

Customer Service Coordinator - Key Responsibilities:

  • General administration including answering calls, dealing with queries & managing multiple databases and email mailboxes
  • Resolving customer queries or issues, by proactively looking for answers and liaising with colleagues / management etc.
  • Diary management of multi-skilled engineers for inspection & testing works across the whole of the UK - including hotel bookings/travel arrangements that need to be considered when applicable
  • Utilising Microsoft Excel to collate and manage data effectively
  • Actioning and closing jobs on the system once they've been successfully completed, to ensure all documentation is saved correctly and submitted to clients
  • Liaising closely with the Operations Manager and other senior management to regularly discuss continuous improvement activities and processes etc.
  • Developing excellent relationships with both internal staff members, engineers out on the road, and customers to maintain business for the company
  • Effectively and efficiently manage your own workload
  • Working as part of the wider team by assisting in other areas as and when required
