My client is a non-departmental public body within the transport sector. They are responsible for navigation, safety, protecting lives and property. They manage hundreds of sites and ensure adherence to international standards.

Your new role
The purpose of this role is to manage quotes for goods, works, and services, and support the Procurement and Supply Team and related organisation activities.

  • Undertake the procurement process for quotes (under £50K) to protect the organisation from risk, ensure compliance and add value commercially in line with Environmental and Sustainable Development requirements and following the policy and procedures of the procurement manual using document templates.
  • Provide support to the wider procurement team with tender activities and other projects.
  • Evaluate user requirements and specifications (for quotes under £50K) to ensure the most appropriate information is available to achieve the organisation's objectives.
  • Provide reports and statistics to the Procurement Manager for use in internal and external reporting, including trend analysis, DfT Above threshold reporting and KPIs.
  • Inputs data and coding to the financial systems to ensure accuracy and ease of retrieval for procurement reporting purposes.
  • Ensures accurate records of activities are kept to provide a compliant audit trail, highlighting anomalies and reporting non-conformances.
  • Provides day to day advice to internal customers to ensure understanding and compliance with all aspects of the Procurement and Supply Chain Teams activities.
  • Provide cover to process procurement transactions to fulfil the requests of users in line with procurement policy resulting in the production of purchase orders or making direct purchases for items under £10k using GPC for requirements below £1k when appropriate.
  • Provide cover as required to reconcile and resolve incorrect invoices against the contracts/purchase orders placed, resolving internal and external issues to allow payment by Finance.
  • Lead on the Procurement and Supply Chain Teams Document Management System managing, maintaining and updating the system including Worksite pages to ensure appropriate use, currency of the system, effective storage, accurate retrieval and ensuring the user understanding (with minor training requirements).
