POSITION: Administrative & Clerical Assistant

LOCATION: Belfast

HOURLY RATE: £11.67

HOURS: Full-time 37.3 hours pw  OR  Part-time 8.30am-4.30pm

DURATION: 3 months (Dec 2023-Feb 2024)

On behalf of our client, we are seeking a Band 3 Administrative & Clerical Assistant to provide administrative service/support in a variety of different settings within the Trust.  They will work as an integral member of a team and be expected to deal with non-routine activities such as answering queries, progress chasing and task related problem solving using their own initiative.

Main Responsibilities/Duties:

  • Word processing /producing reports/working on computer systems.
  • Data input/ retrieval of information.
  • Sorting and responding to mail/emails as appropriate.
  • Dealing with general enquiries/providing advice which requires immediate action within definitive guidelines, protocols & policies.
  • Arrange appointments/meetings as requested.
  • Take minutes of meetings as required.
  • Preparation of statistical information.
  • Dealing with requests for information.
  • Maintain Filing System.
  • General office duties such as photocopying/faxing/ scanning.
  • Supervising staff and allocate work as appropriate.
  • Order stationery.
  • Participate in the Trust’s Appraisal Process and participate in agreed training and development initiatives when identified.
  • Any other general tasks or projects within the remit of the band.

Essential Criteria:

Applicants must, by the closing date for applications, have:

Experience/Qualifications

1a.) 4 GCSE’s Grades A-C  to include English Language (or equivalent Qualification) plus 1 year’s administrative /clerical experience.

OR

1b.) NVQ Level 2 in Administration (or equivalent qualification) plus 1 year’s administrative /clerical experience.

OR

1c.) 2 year’s administrative /clerical experience.

2. 1 year’s word processing experience.

3. Experience in using Microsoft packages to include WORD, EXCEL, and OUTLOOK.

Skills/Abilities/Knowledge

  • Ability to work as part of a team.
  • Ability to use own initiative.
  • Excellent organisational skills with an ability to prioritise own workload.
  • Effective communications skills to meet the needs of the post in full.
  • The ability to work in a challenging and changing environment.
  • The ability to ensure accuracy in own work.
  • The ability to effectively use office admin systems such as diary management and filing systems.
  • Knowledge of the Data Protection Act.

Desirable Criteria

  • Experience of using a computerised database.
