We are delighted to be working with RFL property Services to find an experienced Document Controller, ideally from a construction background to assist their large budgeted programme of work, based in Surrey. You would be required to work from central London offices with occasional travel to Surrey from Waterloo.

Key Purpose:

  • The post holder will be responsible for the management, and storage of Programme documentation.
  • The post holder will support in such tasks as (but not exclusive to) maintaining project documentation, producing regular and ad-hoc reports, being a key point of contact for internal and external stakeholders
  • The post holder will provide support to key work streams including setting up and maintaining project documentation, producing regular and to undertake data analysis and production of reports / project plan, and stakeholder communications as required.

KEY TASKS & RESPONSIBILITIES:

  • Responsible for preparing, managing and filing/storage of the Programme documentation.
  • Be familiar with phasing, sequencing, versioning, archiving and retrieval and set up key processes and measures to ensure a universally used system.
  • To check for accuracy and edit project-wide documents such as contracts, specifications, and programme plans, as and when required, including templates, procedures, master registers, dashboards, and formal documentation such as Board papers.
  • To ensure key project information is reviewed and updated specifically technical documentation as and when required. Comply, manage, and updated to the highest level of quality and accuracy and within a timely manner, ensuring relevant version controls and regulatory requirements are adhered to.
  • To ensure project documentation, including risk and issue management registers, and early warning/escalation systems are maintained and reflect an accurate and up to date position.
  • To develop and maintain information systems to accurately store and manage project documentation to meet the needs of the programme, regulatory and authorising bodies.
  • To help keep guidance documents and user guides up to date, adhering to best practice. To design and deliver training on document storage systems as required.
  • To build strong working relationships with a range of stakeholders within the organisation and externally with partner organisations.
  • File documents in physical and digital records, distribute copies to internal teams whilst managing the flow of documentation within the organisation.
  • Retrieve and distribute files as requested, maintaining commercial confidentiality and sensitivity around information.
  • To exercise flexibility to reprioritise work in response to frequently changing demands.
  • To use initiative to manage multiple priorities and deadlines and prioritise own workload.
  • To develop process maps for, documents, and guidance for established and new ways of working and support their implementation within business areas, to include delivering training as appropriate in relation to document management and storage. 
  • Maintain confidentiality and adhere to data protection legislation at all times.

This role will offer support to key Programme Managers on a multi billion pound project. Previous experience working on a similar large project and demanding environment is key. 

This is an immediate requirement, with a hybrid working pattern and supportive team.
