Client Services Co-ordinator 

As a client services co-ordinator you will play an important supporting role in the continued success of The Arkk Alliance Ltd a fast-growing accountancy practice committed to positively enhancing businesses and lifestyles of ambitious individuals. In this role, you will ensure the smooth, compliant, and efficient running of your appointed accounts team, primarily co-ordinating and supporting the timely and seamless delivery of workflow to ensure deadlines and practice protocols are maintained. Acting also as a key point of contact throughout the customer journey, for customers and team members alike, to ensure a continuous professional and world class experience for our clients. You will work as part of the Support Team, in this Full Time position, from our “NEW” Leamington Spa office.

• Experience working in a customer facing role and preferably in a finance-based environment.

• Knowledge of relevant regulations e.g. AML & KYC compliance.

• Experience with conducting due diligence on individuals using a risk-based approach.

• Strong communication skills (verbal & written).

• A proven passion for excellent customer service and a real people person.

• Great problem-solving skills and exceptional attention to detail.

• Highly organised, thrives in a fast-paced role and is able to prioritise and forward plan.

• Experience co-ordinating and scheduling tasks/workflow for a team

• Thrives working independently but is fundamentally a team player.

• A positive, tenacious attitude, approaching all tasks presented to them with a ‘can do’ attitude.

• Strong IT skills with a good working knowledge of Windows-based packages.

What would I be doing as a Client Services Co-ordinator at The Arkk?

• Answer phone and great and meet our clients for meetings.

• Arrange client meetings with team members to discuss periodic accounts, tax and wealth planning.

• Chase up clients for information and records, check them for completeness prior to passing onto the accounting team for onward work.

• Keep our clients informed of their work in progress on a regular basis via keeping in contact with team members.

• Build a solid rapport and relationship with clients, being the eyes and ears for listening to any potential problems and often sit in meetings to further strengthen your relationship with clients.

• Carry out annual due diligence duties and undertake risk-based analysis on existing clients as required.

? Liaise external accountants and service providers to obtain or provide clearance information and documentation.

? Maintain and update the client database as required to ensure it is always up to date.

• Oversee task workflow and deadlines, and co-ordinate a team of up to 10 staff to ensure their whereabouts and that client service is not compromised.

• Send out regular communication emails/letters to clients.

• Assist appointed team members with correspondence around Company Secretarial deliverables

• Preparation of accounts packs for e-sign within the client portal.

• Set up and maintain agent authorisation request with HMRC.

• Send out client feedback forms on completion of jobs and review for level of service.

• Track and assist the Client services manager with regular service proposal reviews and one-off fee work completion.

• Work closely with key internal stakeholders to plan the end to end on-boarding of new clients and/or new client services, ensuring timescales are within target, and key actions take place.

• Manage any customer issues and ensure customers always receive an excellent level of service.

• Ensuring compliance with internal policies and procedures, regulatory, AML rules and guidelines.

• Escalate issues to the Client Services Manager and the Compliance Team.

• Contribute to improving our processes reviewing all areas for change and improvement.

• Contribute to achieving quarterly team objectives and key results (OKRs).

Hours 35 Hours per week (Mon to Thu 08:30 till 16:30 & Fri 08:30 till 14.00)
