We are currently recruiting for a prestigious university based in Kngston

Role: Faculty Support Administrator

Duration: ASAP - End of August 2024

Location: This role will be based in both of the two offices KT1 and KT2 campus in Kingston Upon Thame

Pay: £14.41

Job purpose:

The role is focused on ensuring effective and efficient administration within the faculty/school/department (as allocated), and to support the smooth running of the faculty office(s). This role provides highly effective and customer orientated support to staff in the faculty. The role is to coordinate a variety of functions and to work flexibly as part of the Faculty Operations Support Team.

Job Description:

  • People: Become the focal point for a wide variety of day-to-day administrative tasks within the faculty/school/department (as allocated). Supporting recruitment coordination, effectively supporting recruitment coordination, including contract staff, ensuring compliance with relevant policies and procedures.
  • Finance: Assist faculty staff in effectively using university finance systems, including purchasing, by guiding staff and maintaining related records.
  • Operations: Maintain an accurate faculty/school/department calendar (as allocated), accessible and up to date for all staff. Facilitate and coordinate internal and external visits to the faculty. Coordinate and maintain stationery supply for academic use, and distribution of post (where relevant).
  • Communications: Support the production of faculty/school/department newsletters, including drafting, editing, and publishing content, in liaison with faculty colleagues (as needed). a. Produce and maintain staff school photo-boards, door signs, organisational charts and academic staff mailing lists. Ensuring all communications and document storage is compliant with university GDPR.
  • Governance: Clerk committees and governance-related meetings, including arranging logistics and catering, preparing materials, and documenting proceedings.
  • Customer Service: Manage day-to-day communications to ensure timely and accurate responses to internal and external queries.
