We are working with an incredibly successful, people-centred Wealth Management Company who is looking for a Personal Assistant & Event Planner to join their team.

The Personal Assistant role is a unique position, encompassing a variety of administrative and business support activities, combined with supporting our Marketing and Events Manager to coordinate the Events Programme of both client facing internal events, and our partner events generated though our in house professional and lifestyle magazine Integra Publishing.

Purpose

As PA, your primary role purpose is to carry out a range of administrative support responsibilities in order to enable the Company Founder to maximise time spent on strategic tasks. Core duties include administrative tasks such as planning and scheduling events, handling correspondence and managing personal calendars.

Key Responsibilities

  • Act as the point of contact between the Founder and internal/external clients
  • Devising/maintaining office systems, including data management and filing
  • Arrange travel and accommodation, and occasionally travelling with the Company Founder to take notes or dictation at meetings or to provide general assistance during presentations
  • Organising and maintaining diaries and making appointments
  • Dealing with incoming emails and post, often corresponding on behalf of the Founder
  • Produce board documents, briefing papers, reports and presentations
  • Liaising with clients, suppliers and other colleagues
  • Creating events that deliver an exceptional client experience
  • Lead processing & updating the CRM system post event
  • Meeting and greeting of clients. Being the welcoming ‘face’ of the office, ensuring the office is always client ready – clean, stocked up, meeting ready.
  • Supporting with post seminar appointment bookings
  • Maintain and endorse the use of strict confidentially in all areas of PA duties
  • Support (where needed) Board &  Senior management Team with administrative, planning and or MI reporting duties
  • Loading and driving own or company vehicles to prepare, set-up and deliver events across the Midlands and London regions.

Relevant Skills and Knowledge

  • Proven work experience as a Personal Assistant
  • Skilled in event planning and management
  • Knowledge of office management systems and procedures
  • Highly capable with MS Office
  • Outstanding organisational and time management skills
  • Ability to multitask and prioritise daily workload
  • Highly organised
  • A flexible approach to work, willing to adapt
  • Understand the need for confidentiality and discretion
  • Flexibility may be required on events days with start times and finish times due to events starting early and finishing late
