We are looking for an experienced PA to Director on a temporary basis for a minimum of 3 months which which could be extended. This is a full time role Mon to Thurs 9 to 5 and Fri 9 to 4:30pm.

The applicant can choose which office to be based from either locations in Barrow, Kendal or Penrith- it is a Hybrid role 3 days in office and 2 days from home (flexible on the days).

There may be an occasional request to travel to another office to take minutes - but practically that will be about once a month. Then standard council expense policy applies e.g. rail/bus travel but also 45p a mile in their own car.

Personal Assistant Job Description:

As a Personal Assistant (PA), you will be responsible for supporting the Director and Associate Director in their day-to-day tasks. Your role includes:

  1. Diary Management:

    • Scheduling, prioritizing, and managing appointments.
    • Coordinating internal and external meetings.
    • Ensuring all appointments are accurately recorded in a central location (either electronic or on paper).
    • Communicating with your boss to determine which meetings can be moved, delegated, or declined.
    • Color-coordinating appointments (if using tools like Outlook) for better readability.
    • Responding to diary appointments promptly.
  2. Minutes and Note-Taking:

    • Attending meetings and taking accurate minutes.
    • Summarizing discussions, decisions, and action items.
    • Organizing and maintaining records of meeting minutes.
  3. Travel Arrangements:

    • Making travel arrangements (flights, accommodation, transportation) for your boss.
    • Ensuring travel plans align with their schedule.
  4. Other Administrative Tasks:

    • Handling phone calls, correspondence, and queries.
    • Sourcing office supplies.
    • Assisting with reports, presentations, and briefs.
