Company Overview:

The role Administrator will be working for our client in the Commercial Vehicle Hire Industry; they have 6 rental depots, with fully equipped, modern maintenance workshops in the North and South of England, from these depots they operate in excess of 2000 vehicles (of which 1000 are above 3.5 tons).

Role Overview:

The role will provide administrative support for all activity in the depot’s workshop and parts department, supporting the workshop manager, along with customers to ensure that all vehicles are operated safely and are legally compliant.

This is a very important and responsible position within the company; it will be varied, and you will be kept busy at all times. Detailed training will be provided in the use of all company software systems and associated procedures/processes.  Your core responsibilities will be to provide Operational/Administrative support for the Depot’s Workshop and Parts department; supporting the workshop manager, along with customers to ensure that all vehicles are operated safely and are legally compliant.

Administrator Duties

  • Planning and arranging 6 weekly vehicle inspections with customers
  • Booking jobs into R2C workshop management system
  • Administering new vehicle PDI’s ensuring all relevant paperwork is scanned onto the system
  • Creating vehicle sub-units
  • Checking that the legal documents such as V5’s and VTG plates are displaying the correct information
  • Filing of V5, VTG plates, tacho and other associated paperwork
  • Answering the telephone and dealing with vehicle breakdowns, defect reporting and other customer issues
  • Ordering of parts from identified supplier
  • Maintaining Parts Tracker data, issuing parts to vehicles, raising orders, receiving orders to stock
  • Matching of invoices to orders
  • Matching prices on invoices against manufacturers/suppliers’ price file on the company intranet
  • Returning parts to suppliers if they’re not fitted to a vehicle
  • Completing GRN book (Goods Return Note) when returning parts to suppliers
  • Ensuring any special-order part is charged to the job
  • Carrying out annual stock checks
  • Adhering to the company’s health and safety policies at all times
  • Carrying out other duties as seen fit by senior management

Required Skills:

  • Proficiency to an intermediate level with Microsoft packages, Word, Excel and Outlook
  • Ability to multi-task and think on your feet
  • An excellent telephone manner coupled with confidence and a sense of humour
  • Ability to learn new procedures quickly and flexibility in your approach to adjust to the business needs
  • Understanding of the importance of teamwork and attention to detail
