Responsibilities: 📋

  • Perform general office duties such as answering phones, managing correspondence, and maintaining filing systems 📞📧📂
  • Inventory and management of the SharePoint site, ensuring document versions are up to date 📑
  • Update databases in the CRM system to maintain accurate records 📊
  • Coordinate and manage meetings and events, including room booking, agenda preparation, and minute-taking 📅📝
  • Provide support for project/ event management and the Secretariat's initiatives 🌟
  • Liaise with internal and external stakeholders to facilitate communication and collaboration 🗣️💼
  • Assisting with the preparation of presentations and other documents as required 🖥️
  • Order and manage office supplies to ensure adequate stock levels 📦

Essential (Knowledge, skills, qualifications, experience): ✔️

  • Minimum of 1-2 years of administrative experience ✨
  • Excellent organisational and time management skills 📆⏱️
  • Strong attention to detail and ability to multitask effectively 👀🤹‍♀️
  • Proactive and self-motivated, with a positive attitude towards work 🌟😊
  • Strong written and verbal communication skills 📝💬
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) 🖥️📊
  • Experience with CRM systems and SharePoint is a plus 🌟

Desirable (Knowledge, skills, qualifications, experience):

  • College administrative diploma or relevant qualification 🎓
  • Familiarity with the gas or energy industry 🌍💡
