The Role:

As a Property Services Administrator, you will play a crucial role in supporting the day-to-day operations of our property services team. You will be responsible for providing administrative support, ensuring that our maintenance and repair services run smoothly and efficiently. This role is perfect for someone who is detail-oriented, highly organized, and passionate about delivering excellent service.

Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to the property services team, including managing correspondence, filing, and data entry.

  • Maintenance Coordination: Assist with the scheduling and coordination of maintenance and repair works, liaising with contractors and residents to ensure timely and effective service delivery.

  • Record Keeping: Maintain accurate and up-to-date records of all property-related activities, including repairs, inspections, and contractor details.

  • Customer Service: Act as a first point of contact for residents’ queries regarding property services, ensuring that all enquiries are handled professionally and efficiently.

  • Invoice Processing: Assist with the processing of invoices related to property maintenance, ensuring accuracy and timely payment.

  • Reporting: Prepare and distribute regular reports on property maintenance activities, including updates on ongoing works, completed jobs, and upcoming projects.

  • Compliance Support: Ensure that all property services activities comply with relevant health and safety regulations and internal policies.

What We're Looking For:

  • Experience: Previous experience in an administrative role, ideally within property management, facilities management, or a related field.

  • Organizational Skills: Excellent organizational skills with a keen eye for detail and the ability to manage multiple tasks simultaneously.

  • Communication Skills: Strong communication skills, both written and verbal, with the ability to engage effectively with residents, contractors, and colleagues.

  • IT Proficiency: Proficient in Microsoft Office (Word, Excel, Outlook) and experience with property management software is a plus.

  • Customer Focus: A strong customer service orientation with a commitment to delivering high-quality support to residents.

  • Problem-Solving: Ability to troubleshoot and resolve issues efficiently, ensuring minimal disruption to services.
