And right now, we’re looking for a Project Coordinator. Based at our Capenhurst site, your primary responsibility is to provide essential technical support, coordination, and administrative assistance to a Group Projects Team. You will play a crucial role in ensuring smooth operations by managing project coordination and administration tasks. Your duties will include producing project reports, managing key performance indicators (KPIs), and supporting the PEM and Project Manager by identifying and addressing any discrepancies. Additionally, you will be responsible for ensuring all project documentation is accurately formatted and that configuration management procedures are effectively implemented.

What Will Your Day Look Like?

  • Safety Culture: Actively promote and maintain a proactive safety culture throughout the project lifecycle.
  • Project Support: Provide comprehensive support and coordination to the Group Projects Team, including the preparation and production of reports and project summaries. Assist in organising and preparing reports and presentations for various stakeholders.
  • Documentation and Configuration Management: Develop and implement configuration management procedures. Ensure all functional documentation is properly formatted and create templates for Group Projects.
  • Administration and Coordination: Assist the Project Engineering Manager with project administration, including travel coordination, and provide necessary reports to project personnel. Handle the coordination of functional actions and deliverables at all levels of the organisation.
  • Stakeholder Engagement: Engage with project delivery and management teams across the Business Units on a daily basis. Independently prepare and analyse presentations, reports, and other documents for executive-level delivery.
  • System Management: Use and support the management of functional-specific information systems (e.g., SAP, time booking, Vencuro, Ecosys).
  • Continuous Improvement: Contribute to local site continuous improvement activities.
  • Event Organisation: Arrange meetings, site visits, training events, and other necessary events. Meet and greet visitors at all levels of seniority.
  • Onboarding Support: Assist with onboarding new starters, including training and time booking for the department and project teams.
  • Integration: Integrate with various Group Project functions to ensure seamless coordination and support.

What Do You Need to Be Great at This Role?

  • Educational Background: College-level education or equivalent in a relevant field.
  • Document and Presentation Skills: Proficient in planning and managing meetings, generating documentation, creating presentations, and compiling briefs and reports suitable for executive-level delivery. Capable of identifying and rectifying discrepancies within documents and communicating findings effectively.
  • Interpersonal Skills: Ability to engage effectively with a wide range of personnel, including those at Board level.
  • Organisational Understanding: A foundational understanding of organisational and project requirements.
  • Technical Proficiency: Skilled in using Microsoft Office Suite (Outlook, Excel, Word, Visio, Project) and company systems such as UShare, Documentum, SAP, Egencia travel booking system, and basic online time booking systems.
  • Organisational Skills: Exceptional organisational and planning skills, with the ability to adapt to shifting priorities, manage a busy workload, and oversee multiple ongoing projects.
  • Documentation Management: Experience in establishing and maintaining a project library, filing, recording, and reporting systems, and contributing to the refinement of management protocols.
  • Attention to Detail: Thorough attention to detail, especially in document management, formatting, and quality control.
  • Language Skills: Fluent in business English, and conversant in the business language relevant to the role's location.
