Job Purpose
To provide excellent front-line reception service to the site at Hemswell carrying out the duties below. Working Days: Monday to Friday inclusive. Working Pattern: 8.30 – 17.00 (although would consider part time hours 09.00 – 16.00)
Main Responsibilities
- Receiving, sorting and distribution of incoming post and parcels
- Overseeing the printing, enveloping and franking of outgoing post and meeting collection deadlines
- To ensure the franking machine has adequate credit and ensure post is handled in the most cost effective way
- Ensure the post room is organised, tidy and run efficiently
- Stock control of stationery, ensuring the stationery cupboard is organised, fully stocked and tidy
- Arranging couriers into / out of the business
- To greet visitors, issue visitor permits and direct to the relevant personnel or show to meeting rooms.
- Booking of meeting rooms throughout the Hemswell office location
- Ordering of catering for meetings
- Stock control and ordering of office consumables, grocery, cleaning and stationery supplies
- Organisation of efficient recycling, including confidential waste, cardboard etc
- To align with our environmental management systems working with the Environmental, Health & Safety team requirements.
- Ensure company notice boards are maintained and up-to-date
- Assist Finance during peak periods with weight chasing and ad hoc tasks
- Point of contact and liaison with the outsourced cleaning company
- Point of contact and liaison with contractors, including permits to work
- Organising/controlling office initiatives (ie Macmillan Coffee Morning, Poppy Appeal, Christmas Jumper Day, staff lunches, etc)
- Point of contact for door access control system, adding new starters and removing leavers
- Maintain and control the key safe and keyholders.
- Local control of alarm systems.
- Monitoring, filtering and distributing emails in the Enquiries email inbox
Your Profile
- Experience in an office/commercial environment
- Maths and English to GCSE level or equivalent standard
- Excellent verbal and written communication skills
- Excellent interpersonal skills being able to engage effectively with internal and external stakeholders
- Proficient in Microsoft Office and able to transfer skills to bespoke systems
- Must be well presented and focused on being a Company advocate
- Team player with the ability to build relationships
- Good problem solving skills
- Reliable and able to manage own workload
