About the role:
This role assists the CEO in various capacities, from managing schedules to coordinating events and handling confidential information. The PA provides administrative and clerical support to ensure the efficient operation of the office and personal tasks. The ideal candidate will be highly organised, proactive, and capable of managing multiple priorities.

Key Responsibilities:

  • Manage and maintain the CEO inbox, schedules, including arranging appointments, meetings

  • Screen and direct phone calls and distribute correspondence

  • Handle requests and queries appropriately

  • Monitor and respond to emails and other communications

  • Coordination of travel and accommodation arrangements

  • Managing expenses and maintaining financial records

  • Handle personal errands and tasks for the executive

  • Organise and manage personal events and engagements

  • Prepare reports, presentations, and correspondence as required

  • Support with ad-hoc projects as they arise

  • Collaborating with PA & teams to organise internal and external events, for clients and internal social events


Office Management:

  • Welcome clients, visitors, and employees with a friendly and professional demeanour

  • Ensure a positive and welcoming experience for everyone entering the office

  • Coordinate meeting room bookings and ensure rooms are set up appropriately

  • Organise and manage refreshments for meetings and events

  • Organising lunches


Event Planning:

  • Plan and coordinate company and personal events, meetings, and conferences

  • Arrange hospitality and logistics for visitors and clients

  • Assist in the preparation of materials and presentations for events


Confidentiality:

  • Handle sensitive information with the utmost discretion and confidentiality

  • Ensure all personal and professional information is protected and secure


About you:

  • Ability to maintain a high level of confidentiality and trust

  • Previous experience in office administration and coordinating administrative tasks

  • Excellent verbal and written communication skills

  • Confident with the MS Office Suite

  • Excellent attention to detail

  • Knowledge of travel and accommodation booking

  • Friendly and helpful disposition

  • Confident in liaising at all levels of an organisation

  • Strong team player with great organisation skills

  • Willingness to take on a variety of tasks

  • Ability to prioritise workload and organise time efficiently

  • Previous experience within the insurance industry (desirable)


Additional Details:

  • Permanent, full-time (Monday - Friday, 9am - 5pm)

  • 3/4 days in the office (EC2A 2BQ) and 1/2 days at home (all Fridays will be work from home)

  • May require occasional evening or weekend work.

  • Up to £40,000 per annum (dependent on experience)
